"Two weeks for samples" is the answer most buyers get on a first call, and it is usually true — for the first sample. What that answer leaves out is what happens between the first sample arriving and a buyer actually approving it, which is where most real timelines run long. Planning against the honest number instead of the optimistic one is what keeps a launch date intact.

What the two weeks actually covers

The first two weeks, roughly, cover confirming the specification, sourcing or preparing the material, producing a small sample run and shipping it — by courier for a size or design check, which is faster than sea freight but still real transit time from Vietnam. That is the number a supplier can commit to with confidence, because it does not depend on your response time or how close the first attempt lands to what you actually wanted.

What extends it, in order of how often it happens

Revision rounds. A first sample that needs a size adjustment, a different laser logo placement, or a packaging tweak adds another full sample-and-ship cycle — typically another one to two weeks per round. Two revision rounds is common for a first-time private label order; budget for it rather than treating it as a delay.

Courier transit and customs. International courier from Vietnam typically runs three to seven business days depending on destination, and that is before accounting for any customs clearance delay on the receiving end. This time is easy to forget when planning backward from a launch date.

Buyer response time. The single biggest variable is not on the supplier's side. A sample sitting in an inbox for a week before it gets reviewed adds a week to the timeline that no supplier controls. If a launch date is fixed, treat your own review turnaround as a scheduled task, not something to fit in when convenient.

Packaging samples running on a separate track. Product samples and packaging samples often need different lead times and sometimes different vendors entirely. Approving the product does not mean the packaging is ready — confirm both tracks explicitly rather than assuming they finish together.

A realistic total for a first-time order

For a straightforward request — no ground-up development, choosing sizes and a laser logo on an existing coffee wood line — three to five weeks from first contact to an approved sample is a realistic total once one revision round is accounted for. For a fully custom product, OEM development adds real specification and iteration time on top of that.

What speeds it up

Sending a clear spec on the first request — exact sizes, logo file, any packaging preference — instead of a general description removes the most common cause of an unnecessary first revision. Request samples with as much of that detail as you have; the more specific the first ask, the fewer rounds it takes to get to yes.
